Promotional Help with your Event

Just follow the 7 promotional techniques that are listed below. (We've even included some samples* to make it easy for YOU!) They are proven winners.

It is extremely important to promote your event throughout your entire company. The event planner's (that would be you) enthusiastic approach to promoting the upcoming event is crucial to achieving a well-attended and successful event.

Posters - Put these up early in high traffic places, or break rooms. These should be simple, just the date, the location, the time, and the theme if you have one. Put these up early so that people will "save the date". POSTER SAMPLE

Company Newsletter -a short article that reminds everyone of the upcoming event and who to contact for more information.

E-mail - if you have a company wide or global email, use it.

Manager Meeting - ask for two minutes at the meeting to make a quick announcement. As part of the announcement, let managers know how especially important it is for them to attend. And let them know if there is anything special they may be asked to do at the event - for instance, greeting guests as they arrive.

Direct Mail - mailing something directly to the homes of your invited guests is an extra nice touch. It also gets the family involved and lets the spouses know they are important too. This can be a specially printed invitation or the Event Flyer.

Event Flyer - This should be sent out about a month prior if you need an R.S.V.P. or it can be sent out as a final reminder the week of the event. The flyer should include the event time, schedule, and map including directions and parking information. FLYER SAMPLE
Do not assume your guests will be able to find the location.
Give them a map!
AFTER THE EVENT!
Write a 'follow up' thanking those who attended and let the folks who didn't attend know that they missed a good time. Mention the highlights of the event and the fun that was had. Sending a global email or doing a write-up in your newsletter is a great way to accomplish this.
Sample: "This year's event was a huge success! We had the best turn-out ever and fun was had by all. Thanks to everyone who attended for making it a wonderful experience. We've already set the date for next year, so be sure to mark your calendars - you won't want to miss it!"
Other proven effective means of 'following up' are to place photos on your website or post photos throughout your office (maybe on your pre-event promotional posters.)
This is a little extra work, but it shows everyone that you appreciate them and sets up future event promotions for success.

If you are a veteran at planning your event, you know this quite well! However, if you are new to event planning, it is important to remember that there will always be those few individuals who cannot be pleased. Don't get discouraged by the "complainers". Focus on the over-all picture and the positive, successful aspects of your event.
If you have a committee, a follow up meeting to discuss what worked well and what could be improved upon is a great tool for making your next event even better. Use an agenda to help keep your meeting short and take good notes. People on the committee tend to change from event to event.
